This Privacy Policy explains how Wrab Tech, a California S-Corporation operating TruckMind (“Wrab Tech,” “TruckMind,” “we,” “us,” or “our”), collects, uses, stores, discloses, and protects information when you visit our website, create an account, use the TruckMind platform, interact with our services, communicate with us, or use our trucking operations, safety intelligence, compliance, outreach, data, and workflow products.

This Privacy Policy applies to TruckMind websites, signup pages, software, applications, dashboards, modules, reports, APIs, email tools, CRM tools, mobile applications, and related services collectively referred to as the “Platform.”

By accessing or using TruckMind, you acknowledge this Privacy Policy.

1. Scope of This Privacy Policy

This Privacy Policy covers:

  • Information we collect directly from users and customers
  • Information customers upload or input into TruckMind
  • Information generated through use of the Platform
  • Information collected through website, application, device, browser, and system interactions
  • Platform Data collected, compiled, enriched, or analyzed from public sources, government sources, third-party providers, and Wrab Tech systems

This Privacy Policy does not apply to third-party websites, third-party platforms, third-party integrations, or third-party services that are not controlled by Wrab Tech.

2. Our Role: Business, Controller, Service Provider, or Processor

Depending on the context, Wrab Tech may act in different roles.

For account, billing, marketing, website, support, product analytics, and business operations data, Wrab Tech may act as a business or controller.

For Customer Data uploaded, submitted, or processed by a customer through TruckMind for that customer’s own business operations, Wrab Tech generally acts as a service provider or processor. In that context, Customer determines the purposes and means of processing, and Wrab Tech processes Customer Data to provide the Platform and related services.

For Platform Data collected from public sources, government sources, third-party sources, and Wrab Tech compilation or enrichment processes, Wrab Tech determines how such data is collected, normalized, analyzed, and made available through the Platform, subject to applicable law and customer agreements.

3. Information We Collect

We may collect the following categories of information.

3.1 Account and Contact Information

We may collect names, company names, job titles, email addresses, phone numbers, billing contacts, mailing addresses, business addresses, username, password credentials or authentication details, account role, and user permissions.

3.2 Business and Subscription Information

We may collect subscription tier, selected modules, order form details, billing frequency, payment method type, invoice information, usage limits, support plan, contract status, renewal status, cancellation status, and customer relationship notes.

3.3 Customer Data Uploaded to the Platform

Depending on use of the Platform, customers may upload or input information such as:

  • Driver names, phone numbers, email addresses, license or compliance details
  • Owner, dispatcher, broker, carrier, customer, shipper, consignee, and vendor information
  • Load information, rate confirmations, bills of lading, proof of delivery documents, invoices, settlement records, payroll records, fuel records, mileage records, and payment information
  • Truck, trailer, VIN, plate, maintenance, inspection, repair, and equipment information
  • Carrier packets, certificates of insurance, W-9s, contracts, compliance documents, DQ files, MVR-related records, testing records, and uploaded files
  • Notes, messages, emails, templates, CRM activities, tasks, alerts, and communication history
  • Other information provided by Customer or users

Customer is responsible for ensuring that it has the rights, permissions, and legal basis required to upload and process Customer Data through TruckMind.

3.4 Platform Data and Public-Source Data

TruckMind may collect, compile, enrich, normalize, analyze, or display trucking-related data from public sources, government sources, third-party sources, and Wrab Tech systems. This may include:

  • DOT numbers, MC numbers, authority status, operating status, and carrier profile information
  • FMCSA, inspection, violation, crash, safety, OOS, BASIC, and related safety data
  • Insurance coverage and insurance history
  • Fleet size, equipment, power unit, trailer, driver, mileage, operational characteristics, and asset-related metadata
  • Carrier contact information, business addresses, and public business records
  • Safety grades, risk indicators, violation clusters, trend analysis, and derived analytics

Platform Data may include information about individuals where available in public, government, third-party, or business records. Platform Data may be incomplete, delayed, inaccurate, or subject to source limitations.

3.5 Usage, Device, and Technical Information

We may collect usage logs, login activity, IP address, browser type, device type, operating system, pages visited, session data, clickstream data, feature usage, search activity, report-generation activity, export activity, API activity, error logs, crash logs, performance data, security logs, and suspicious activity signals.

3.6 Communications and Support Information

We may collect emails, calls, chat messages, support tickets, onboarding notes, training interactions, feedback, feature requests, meeting notes, and other communications with us.

3.7 Payment Information

Payments may be processed by third-party payment processors. We may receive limited billing and payment metadata such as payment status, invoice status, transaction identifiers, billing address, subscription amount, card type, last four digits, ACH status, and payment history. We generally do not store full credit card numbers unless expressly stated by our payment processor or required for a specific approved workflow.

3.8 Cookies and Similar Technologies

We may use cookies, pixels, local storage, analytics tools, session identifiers, and similar technologies to operate the website and Platform, maintain sessions, improve performance, remember preferences, analyze usage, prevent fraud, secure accounts, and improve services.

4. How We Use Information

We may use information to:

  • Provide, operate, maintain, secure, and improve TruckMind
  • Create and manage accounts
  • Authenticate users and manage access permissions
  • Deliver subscribed modules and features
  • Process uploads, documents, reports, dashboards, workflows, analytics, and automations
  • Provide dispatch, load, safety, compliance, carrier vetting, document, billing, payroll, settlement, outreach, CRM, and reporting workflows
  • Generate safety reports, analytics, alerts, grades, insights, and recommendations
  • Process payments, invoices, subscriptions, renewals, and cancellations
  • Provide support, onboarding, training, troubleshooting, and customer success services
  • Monitor usage limits, fair use, API activity, report limits, email limits, and system performance
  • Detect scraping, abuse, credential sharing, unauthorized access, fraud, malware, security incidents, and policy violations
  • Comply with legal, regulatory, tax, accounting, audit, contractual, and security obligations
  • Communicate about product updates, service notices, security notices, billing notices, support matters, renewals, and administrative messages
  • Send marketing or promotional communications where permitted by law
  • Improve product design, features, user experience, analytics, and Platform reliability
  • Enforce our Terms, agreements, Acceptable Use Policy, and legal rights

5. How We Disclose Information

We may disclose information as follows.

5.1 To Service Providers and Subprocessors

We may disclose information to service providers and subprocessors that help us operate TruckMind, including cloud hosting providers, database providers, email delivery services, analytics and monitoring providers, payment processors, support systems, security tools, document processing providers, communications tools, and infrastructure vendors.

These providers are authorized to process information as needed to provide services to us and are expected to protect information consistent with applicable contractual obligations.

5.2 To Customer Administrators and Authorized Users

Information within a customer account may be visible to Customer administrators and authorized users based on roles, permissions, and account configuration. Customer controls user access and role assignments within its organization.

5.3 To Integrated Third-Party Services

When Customer enables integrations or uses features connected to third-party systems, we may transmit information to or receive information from those systems as needed to provide the integration. Customer is responsible for authorizing integrations and reviewing third-party terms and privacy practices.

5.4 For Legal and Compliance Reasons

We may disclose information if we believe disclosure is necessary to comply with law, legal process, court order, subpoena, government request, regulatory inquiry, tax obligation, audit obligation, or law enforcement request.

Where Wrab Tech acts as service provider or processor for Customer Data, we will attempt to notify Customer of legal requests when legally permitted and appropriate.

5.5 To Protect Rights, Safety, and Security

We may disclose information to protect the rights, property, safety, availability, integrity, or security of Wrab Tech, TruckMind, customers, users, third parties, or the public. This includes investigating fraud, abuse, security incidents, unauthorized access, scraping, data misuse, policy violations, or harmful activity.

5.6 Business Transfers

We may disclose or transfer information in connection with a merger, acquisition, financing, corporate transaction, reorganization, bankruptcy, sale of assets, or due diligence process, subject to appropriate confidentiality protections where applicable.

5.7 With Consent or Direction

We may disclose information with Customer’s consent, at Customer’s direction, or as otherwise described at the time of collection.

6. We Do Not Sell Customer Data

Wrab Tech does not sell Customer Data. Wrab Tech does not share Customer Data for cross-context behavioral advertising. Wrab Tech does not use Customer Data for advertising or marketing unrelated to providing the Platform.

We may use account contact information to communicate with customers about TruckMind products and services, subject to applicable law and opt-out rights.

7. Data Retention

We retain information for as long as necessary to provide the Platform, maintain accounts, comply with legal obligations, resolve disputes, enforce agreements, prevent fraud, maintain security, support business operations, and satisfy tax, audit, backup, and recordkeeping requirements.

Retention periods may vary depending on the type of information, subscription status, legal requirements, customer instructions, backup systems, and operational needs.

Upon termination or expiration of a customer agreement, Wrab Tech may delete, de-identify, return, or retain Customer Data as described in the applicable agreement or Data Processing Agreement. Wrab Tech may retain limited copies as required for legal compliance, tax and audit obligations, fraud prevention, dispute resolution, internal backup, and security purposes.

8. Data Security

Wrab Tech maintains reasonable administrative, technical, and physical safeguards designed to protect information. Measures may include encrypted data transfer, secure credential controls, hardened cloud infrastructure, access controls, logging, least-privilege access, data backup, redundancy, monitoring, and incident response processes.

No system can be guaranteed to be completely secure. Customers are responsible for maintaining account security, managing user permissions, securing credentials, using strong passwords, restricting access, and promptly notifying us of suspected unauthorized access.

9. Data Breach and Incident Notification

If Wrab Tech becomes aware of unauthorized access to Customer Data that constitutes a data breach under applicable law, Wrab Tech will notify the affected Customer without undue delay, provide known details where available, describe mitigation efforts where appropriate, and cooperate with Customer’s legal or regulatory obligations.

Customer is responsible for notifying affected individuals, regulators, or other parties unless otherwise required by law or agreed in writing.

10. Customer Instructions and Data Subject Requests

Where Wrab Tech processes Customer Data as a service provider or processor, Customer is responsible for responding to privacy rights requests from individuals whose Personal Information is included in Customer Data.

Wrab Tech will provide reasonable assistance where Customer cannot fulfill a request on its own, including assistance with access, deletion, correction, or locating Customer Data, subject to technical feasibility, identity verification, legal restrictions, and applicable agreement terms.

11. Your Privacy Choices

Depending on your relationship with us and applicable law, you may have choices regarding your information, including:

  • Updating account information
  • Managing communication preferences
  • Opting out of marketing emails by using unsubscribe links or contacting us
  • Requesting access, correction, deletion, or portability where applicable
  • Requesting information about categories of personal information collected, used, disclosed, or retained where applicable
  • Requesting limitation of certain uses of sensitive personal information where applicable
  • Requesting that we not sell or share personal information where applicable

Because TruckMind primarily serves business customers and may process information on behalf of those customers, some requests relating to Customer Data may need to be directed to the applicable Customer organization.

12. California Privacy Notice

This section applies to California residents where the California Consumer Privacy Act, as amended by the California Privacy Rights Act, applies.

12.1 Categories of Personal Information Collected

Depending on how you interact with TruckMind, we may collect the following categories of personal information:

  • Identifiers, such as name, email address, phone number, business address, account identifiers, IP address, device identifiers, DOT number, MC number, or public business identifiers
  • Customer records information, such as billing contact details, account details, subscription information, and business contact information
  • Commercial information, such as subscriptions, modules purchased, transaction history, invoices, payment status, and usage history
  • Internet or network activity, such as login logs, feature usage, browsing activity on our website, Platform interactions, API usage, and system logs
  • Geolocation-related information, where enabled by Customer or users through tracking, ELD, telematics, dispatch, driver app, or operational workflows
  • Professional or employment-related information, such as role, title, company, driver-related records, compliance documents, or user permissions
  • Inferences, analytics, safety scores, risk indicators, workflow recommendations, usage patterns, and derived insights
  • Sensitive personal information, where uploaded by Customer or required for certain compliance workflows, such as driver compliance documents, licenses, testing records, identification documents, or other regulated records

12.2 Purposes for Collection and Use

We collect and use personal information for the business and commercial purposes described in Section 4, including providing the Platform, account administration, billing, support, security, fraud prevention, analytics, compliance, customer communication, product improvement, and enforcement of agreements.

12.3 Sources of Personal Information

We may collect personal information from:

  • You directly
  • Customer organizations and authorized users
  • Public sources and government sources
  • Third-party data providers
  • Integrated systems and third-party services authorized by Customer
  • Devices, browsers, logs, cookies, and Platform usage
  • Communications with us

12.4 Categories of Recipients

We may disclose personal information to service providers, subprocessors, customer administrators, authorized users, integrated third-party services, professional advisors, legal authorities, transaction parties, and other parties described in Section 5.

12.5 Sale or Sharing

Wrab Tech does not sell Customer Data. Wrab Tech does not share Customer Data for cross-context behavioral advertising. If any future practice constitutes a sale or sharing under applicable California law, Wrab Tech will provide required notices and opt-out mechanisms.

12.6 Sensitive Personal Information

Wrab Tech does not use sensitive personal information for purposes other than those permitted by applicable law, such as providing the Platform, securing accounts, processing Customer Data as instructed, compliance workflows, and preventing fraud or security incidents.

12.7 California Privacy Rights

Subject to applicable exceptions, California residents may have the right to:

  • Know what personal information is collected, used, disclosed, sold, or shared
  • Access personal information
  • Correct inaccurate personal information
  • Delete personal information
  • Opt out of sale or sharing of personal information
  • Limit certain uses of sensitive personal information
  • Not be discriminated against for exercising privacy rights

To submit a request, contact us using the information in Section 20. We may need to verify your identity before fulfilling a request. If your request relates to Customer Data processed on behalf of a TruckMind customer, we may direct you to that customer or coordinate with that customer as appropriate.

13. Notice at Collection

At or before the point where we collect personal information, we provide notice through this Privacy Policy, signup flow, website links, product notices, or other relevant notices. The categories of information we collect, purposes for collection, retention practices, and disclosure practices are described in this Privacy Policy.

14. Cookies and Tracking Technologies

We may use cookies and similar technologies to:

  • Keep users logged in
  • Maintain security and session integrity
  • Remember settings and preferences
  • Analyze website and Platform performance
  • Understand feature usage
  • Detect abuse, fraud, or suspicious activity
  • Improve the user experience
  • Support marketing measurement where permitted

Browser settings may allow users to block or delete cookies. Some Platform features may not function properly without required cookies.

15. Marketing Communications

We may send marketing communications about TruckMind products, services, updates, events, or offers where permitted by law. You may opt out of marketing emails by using the unsubscribe link or contacting us.

Even if you opt out of marketing communications, we may still send transactional or administrative messages, including account notices, billing notices, renewal notices, security notices, support messages, and service updates.

16. Children’s Privacy

TruckMind is intended for business users and is not directed to children under 13. We do not knowingly collect personal information from children under 13. If we learn that we have collected personal information from a child under 13 without appropriate consent, we will take reasonable steps to delete it.

17. International Data Transfers

TruckMind is primarily hosted and operated in the United States. If information is transferred internationally, we will implement legally required protections where applicable.

Users accessing TruckMind from outside the United States understand that information may be processed in the United States or other jurisdictions where we or our service providers operate.

18. Third-Party Links and Services

The Platform may contain links to third-party websites or connect to third-party services. We are not responsible for the privacy practices, security practices, content, or terms of third-party services.

Customer is responsible for reviewing third-party terms and privacy policies before enabling integrations or sharing data with third-party systems.

19. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Updates become effective when posted on the TruckMind website, signup flow, or dashboard unless a later effective date is stated.

For material changes, we may provide additional notice through email, dashboard notice, account notification, or other reasonable method.

Continued use of TruckMind after the updated Privacy Policy becomes effective means you acknowledge the updated policy.
